WELCOME

We are thrilled to be partnering with you for the upcoming 2017 Green Sports Alliance Summit in Sacramento! As a sponsor, your organization will be an integral aspect of the Summit and the sports greening movement. Please review the information below as it contains important information for your preparation for the 2017 Summit Partner Showcase.

Exhibitor Set Up: Monday, June 26 from 2-8pm

Exhibitor Tear Down: Thursday, June 29 from 1:15-5pm

Please note that late set-up and early tear-down will NOT be permitted due to the proximity of the general session to the exhibit hall. Please plan your travel accordingly.

EXHIBITOR SET UP & BREAKDOWN DETAILS

Exhibitor Set-up Monday, June 26

Set up is from 2:00–8:00pm. If additional time is needed for setup, please contact Hannah Walker at hannah@greensportssummit.org or 503.226.2377 to coordinate a custom installation appointment.

Once you arrive, please proceed to the registration area to check in. Registration is located on the main concourse with the exhibits.

Your exhibitor space must be completely set up no later than 8:00pm on Monday, June 26.

Breakdown Time for Thursday, June 29

Exhibitors must remain set up until the end of the program. Breakdown will begin at 1:15pm on

Thursday, June 29. Exhibitors are expected to clear out of the Trade Show floor by 5:00pm. If you need additional time for breakdown, please work with Hannah Walker on timing.

 

EXHIBIT SPACE

Please stay within the dimensions of your allotted exhibitor space. All sponsors are allowed to have free standing banner signage.

Each exhibit will be supplied with the following:

  • 8’ high draped back wall (black)
  • 3’ high draped side rails (black)
  • One (1) 6’ Skirted Table (black)
  • Two (2) folding chairs
  • One (1) 7”x44” Exhibitor ID Sign

What is NOT included with your exhibit space:

Electric, carpet, booth decorations, additional furniture, and all AV can all be ordered online through Rossi Expositions.

Please note that booth materials can NOT exceed 7’ in height due to the ceiling of the Golden 1 Center.

 

EXHIBITOR SERVICES

Rossi Expositions is the official decorator for the event and can provide a wide variety of products and services for your booth. You will receive an email directly from them with login information to their secure online order site. If you have questions about anything on the site or haven’t received login information, please contact info@rossiexpo.com.

On non-event days, public parking is available at Downtown Commons West Garage (3rd & L Street) for those visiting Sacramento Kings Team Store, Box Office or taking a tour. Guests to the arena should enter through the Media Entrance on 5th & J Street and check-in with security for access.

GREEN EXHIBITOR GUIDE

In keeping with the sustainable mission of the Green Sports Alliance Summit, we ask that you follow the guidelines below to help us lower the impact of the Summit.

Preparation

  • Limit brochures and paper handouts. Most attendees will review materials at your booth and leave them for the next person.
  • Use non-dated event neutral designs so leftover items may be used at future events
  • Print signage and handouts through FSC-certified printers and/or paper made of post-consumer content
  • Use non-chlorine inks such as vegetable or soy
  • Print and or purchase what you can in the host city to reduce shipping. When shipping, only send what you need and avoid using packing peanuts (polystyrene) or other difficult to recycle toxic materials
  • In lieu of printed materials, offer to send information via email or display electronically at your booth
  • If you wish to hand out swag to attendees please choose utilitarian items that are sustainably made and recyclable.
  • Use sustainable and/or recycled materials in your exhibit booth

During the Summit

  • During set-up, save packing materials from shipments to reuse at the end of the Summit
  • Remember to power off and unplug any electronic items at your booth when not in use to save energy

Break-Down

  • During break-down, use waste stations to properly recycle any items that cannot be reused
  • Pack up your reusable materials and take them with you to use at future events
  • We will have a donation box to collect useful items you do not wish to ship back such as water bottles, canvas bags, pens or similar handouts. Note: All paper handouts should be recycled
  • Please contact us directly if you would like additional resources or guidance in greening your exhibitor space.

 

EXHIBITOR REGISTRATION

As an exhibitor/sponsor, complimentary passes to attend and exhibit are included in your sponsorship terms. You should have received instructions on how to register via email. Your Registration Includes access to all programming content during the 2017 Green Sports Alliance Summit.

TERRACYCLE WASTE PLAN

Please look for the TerraCycle boxes, which will allow you to recycle previously unrecyclable shipping materials. Please place all your discarded single-use Styrofoam/paper/plastic cups (including coffee cups), plates, storage containers, straws and utensils.

SECURITY

While every reasonable precaution is taken to ensure the safety and security of personnel and equipment, Green Sports Alliance or its subcontractors cannot accept any responsibility for any injury, loss or damage to personnel and their property. We recommend that valuables not be left unattended in your booth at any time. Please ensure that any incident involving the loss or damage of property is reported immediately. Failure to do so could result in an insurance company’s refusal to meet claims.

 

THE FINE PRINT

The organizers of the 2017 Green Sports Alliance Summit have sole discretion as to the location and placement of all exhibitor tables and booth spaces. The organizers of the 2017 Green Sports Alliance Summit are not responsible for theft, loss or breakage of personal or exhibit materials.
